Standard ReportsThe following reports come standard with Choice. Additional reports can be created on site to your exact specifications using any one of a variety of powerful ad hoc report writers, such as Microsoft FoxPro, Microsoft Access, Crystal Reports, or Choice's SQL Query Software. 1. Daily Sales Reports Details daily ticket transactions, reporting ticket sales, box office donations, memberships, merchandise sales, order charges and payments, among others. 2. Period Sales Reports Summarizes ticket sales within a specific date and time range defined by the user. Reports can be run on In-House sales, Internet Sales, or Both. The format of these reports is the same as the Daily Sales Reports and is ideal to close out the month's business for accounting purposes. 3. Series Reports Summarizes series ticket sales by series, by seat status code, by price section, by price group, by discount code, by advertising source, by zip code and by payment type. You can see at a glance which series are selling well and which series need more promotion. 4. Event Reports The same reports as for Series, but on a specific performance or multiple performance basis. 5. Advertising Source Report Summarizes ticket sales by advertising source(s), allowing for detailed marketing campaign analysis. 6. Renewal Report Lists all subscribers who have yet to renew their seats for the upcoming season. This report can be used by the staff to conduct a telemarketing campaign, giving your staff the information necessary to contact these subscribers and solicit their renewal. 7. Better Seating Report Lists all subscribers who requested better seating for the upcoming season. Using this report, you can honor these better seating requests in an organized and equitable manner. 8. Sales History Report Perhaps the most powerful report in Choice, this allows for the selection of specific events, groups of events, or all events and series with subsequent analysis based on Seat Status Codes, Customer Codes, Ticket Dollar Sales, Number of Tickets Sold, Number of Events Sold, or a simple Customer List. The results of the report can be viewed as a Report, sent to Labels, or saved to a File. 9. Cashflow Report You can select specific events, groups of events, or all events and this report will organize these ticket sales by date sold, giving you the ability to identify selling trends such as what percentage of the house was sold two weeks before the event, one week before the event etc. 10. Accounts Receivable Reports Lists, in detail and summary formats, all customers who owe money on ticket sales, ensuring that balances due are not overlooked. 11. Box Office Reports The first two box office reports, Sold Seats-Customer Order and Sold Seats-Seat Order list sold seats in customer name or seat order. A third box office report, Unsold Seats, lists all unsold seats and can be used as a form to manually sell hard tickets at a remote Box Office. The fourth box office report, Will Calls, lists open will call orders that have yet to be picked up at the box office. So if your box office is not directly connected to the system, these reports are the next best thing, serving as a reference to sell tickets and answer customer's questions at the box office. 12. Customer Lists, Mailing Labels & Computer Files The system can produce lists, mailing labels, and computer files based on various criteria, such as customers who fit certain demographic or special interest criteria....your subscribers....your subscribers who have yet to renew their subscription for the upcoming season....single ticket buyers who you want to upgrade to subscribers....customers who are on the mailing list but have yet to purchase tickets, and on and on... This capability is very useful if you want to mail promotional literature to a target audience of customers. And the system is smart enough to include customers only once, thus avoiding the embarrassment and cost of mailing duplicate literature. 13. Daily Fund Reports Details daily fund transactions, reporting pledges and donations by fund, by donor, and by payment type. These are excellent reports to understand and balance daily fund receipts. 14. Fund Income Reports Details pledges, donations, pledge receivables, and fund income by fund or by donor within a date range defined by the user. This report provides a concise look at the status of pledges, donations and fund income. 15. Donation Detail Reports Details donations by fund, by donor, or by payment type within a date range defined by the user. This report can be used to audit the activity of a given fund and is ideal to close out the month's business for accounting purposes. 16. Donation Summary Reports Summarizes donations by fund or by donor within a date range defined by the user, giving you a concise report on the status of your funds. 17. Pledge Receivable Report Details pledges and donations by donor, identifying donors whom have outstanding pledges. 18. Donor Lists, Mailing Labels & Computer Files The system can produce lists, mailing labels, and computer files of donors based on a variety of criteria, such as...donors who fit certain demographic criteria...donors who have made pledges or donations to specific funds...customers who have purchased tickets but have not yet donated to any funds, and on and on... This capability is very useful if you want to mail promotional literature to a target audience of donors. Daily Membership Report Details daily member transactions, reporting pledges and donations by member category, by member, and by payment type. These are excellent reports to understand and balance daily member receipts. 20. Member Income reports Details pledges, donations, pledge receivables, and member income by member category or by member within a date range defined by the user. This report provides a concise look at the status of pledges, donations and member income. 21. Member Detail Reports Details donations by member category, by member, or by payment type within a date range defined by the user. This report can be used to audit the activity of a given membership category and is ideal to close out the month's business for accounting purposes. 22. Member Summary Reports Summarizes donations by member category or by member within a date range defined by the user, giving you a concise report on the status of your membership categories. 23. Member Receivable Report Details pledges and donations by member, identifying members whom have outstanding pledges. 24. Member Lists, Mailing Labels & Computer Files The system can produce lists, mailing labels, and computer files of members based on a variety of criteria, such as...members who fit certain demographic criteria...members who have made pledges or donations to specific categories...customers who have purchased tickets but are not yet members, and on and on... Volunteer Hours Detail Reports Details volunteer hours worked by volunteer and volunteer category within a Date and/or Hour range defined by the user. This report can be used to audit the activity of volunteers. 26. Volunteer Hours Sumary Reports Summarizes volunteer hours worked by volunteer and volunteer category within a Date and/or Hour range defined by the user. This is an excellent report to identify volunteers who deserve formal recognition and/or service awards. 27. Volunteer Lists, Mailing Labels & Computer Files The system can produce lists, mailing labels, and computer files based on volunteer activities, certain demographic criteria, or skill sets. Again, this capability is very useful if you want to communicate with a target audience of volunteers. And, as in the case of ticket buyers, the system is smart enough to include volunteers only once, thus avoiding the embarrassment and cost of duplicate mail. The above list of reports is by no means the complete list of reports you get from Choice but simply the reports that are most commonly used. Additional reports exist and new ones are being added on an ongoing basis, based in large part on the suggestions of our users.
